Process for Securing Disability Accommodations
Accommodations may be requested at any time during your degree progression and at any point during the term.
However, accommodations cannot be applied retroactively and make take some time to coordinate. We recommend applying for accommodations early in your education or prior to the start of the term.
Accommodations can take anywhere between 1-3 weeks to establish AFTER your registration form and supporting documentation are received.
You may reach out at any time to inquire about the status of your accommodation request. Please also check your email and voicemail for updates.
Before You Start
Please apply to WVC and complete the WVC Student Checklist before completing your SAS Registration Form.
You will need a student email address and password to access the SAS registration form.
If you have questions or need support please contact us at any time. If you need accommodation in order to complete the WVC application process, please reach out to sas@wvc.edu.
READY TO GET STARTED?
STEP 1 - Submit Your SAS Registration Form
Complete our online registration form to begin the process. You must use your WVC Student Email address and password to login. This is NOT the same as your ctcLink login information.
If you don't know your student email address and password, read more about it on the IT Helpdesk website or reach out to us for support.
Students should complete this form themselves and in their own words. Please do not use AI or simply restate what is on your documentation (Step 2). The purpose of this form is to get a better understanding of your barriers and challenges in your own words.
STEP 2 - Submit Documentation
Please carefully review our documentation requirements. We have several things we look for including diagnostic information, symptoms, expected prognosis, and more. IEP/504 plans or brief letters from a physician often do not provide enough on their own.
Submit Supporting Documentation
SAS staff do our best to respond to submitted registration forms and inquiries quickly. To streamline the process, we encourage students to submit their documentation when completing the online registration form. However, documentation can be provided after submitting your application if needed.
Please note: during times of high traffic, it may take up to 15 business days to process your documentation. We do our best to act fast, but please plan accordingly.
STEP 3 - Check Your Email/Voicemail
SAS communicates through your student email address to maintain confidentiality.
We may request additional documentation through email or send you an invitation with a link to schedule an intake appointment.
If we don't hear back after 2-3 attempts (email and/or phone calls), we will archive your application.
Don't worry, archived applications are easy to retrieve! This just means we won't be making efforts to reach you anymore unless you contact us.
If that happens just reach out to us to resume the process.
STEP 4 - Meet for an Appointment
After reviewing all of your documents and your registration form, SAS will send an email to your student email address with a link to schedule an appointment with our Student Access Manager. Appointments are available in person and virtually.
The purpose of this meeting is to better understand the barriers you face and to identify any appropriate accommodations to meet your needs. This interactive conversation typically takes about 60 minutes, but follow-up may be necessary.
Following this appointment, you may receive additional information about your accommodations, referrals, resources, and/or explanations of why we cannot approve your accommodations at this time.
Please follow-up with our staff if you have remaining questions or do not understand how to use your accommodations if they are approved.
STEP 5 - Using Your Accommodations
Once your accommodations are approved, it is your responsibility officially notify your instructors of your accommodations each quarter. You never need to share any information about your disability, nor should you ever be asked. You simply need to notify instructor(s) of the accommodations you wish to use in their course(s). Students do this officially through our Student Access Portal.
Don't worry, we have a handbook with tools to help you navigate this. After you review your handbook you can make an appointment for additional help!
All students are expected to review and agree to their Rights and Responsibilities (last revised 3/31/2023) prior to using accommodations. Students may also receive information and agreements related to their specific accommodations. Students may also review the complaint and grievance process at any time.
Accommodations are an interactive and ongoing process. We expect students to remain engaged and update our office with changes to needs or concerns regarding their accommodation implementation.
SAS staff will coordinate with instructors and students to arrange reasonable accommodations. Students may need or wish to communicate with their instructors directly as well. Our office is here to help, but students are expected to take ownership of their needs. For suggestions and guidance, check out our Resources for Current Students page. Or reach out to us directly at sas@wvc.edu, 509-682-6854, or schedule an appointment.
Did you know there are many free resources and optional tools to help students succeed? There are lots of supports at WVC, but many outside of WVC too! Student Access Services are about providing access, but there are plenty of options to build success for yourself!
